The Common & Unique Program feature allows you to create a common program that would contain questions and information you would want shared across multiple unique programs. Read on to see the many ways this feature can help you and your organization.
The most common way that the Common & Unique Program feature is used by our clients is for managing multiple programs. By creating a common application, providers do not have to ask the same question over and over again, allowing the applicants to only provide common information once for all of the programs to which they are applying. In this situation, the common application will house all of the information needed from ALL applicants, regardless of the program to which they are applying, including recommendation and transcript requests. In addition, you will be able to ask specific questions within each unique program.
What’s in it for me?
Because your applicant pool will be placed into different “boxes” according to the programs to which they apply, you can quickly update donors with how good is their applicant turnout. On your home page, you will see a list of all of your active programs. Next to each program is a number showing how many applicants have applied to that particular program. Simply click on that number to see how many individual applicants have submitted a completed application to that program. Additionally, you can see how many applicants you have overall by looking at the number next to your common program.
By utilizing the Common & Unique Program feature, you can also more easily pre-qualify your applicant pool. At the Enhanced and Bells & Whistles levels, a pre-qualifying questionnaire can be created for each unique program based on that particular program’s qualifying criteria. At the Bells & Whistles level, applicants can be matched to unique programs based on their responses to matching questions. Each unique program will have its own qualifying criteria identified to match each of your applicants. If an applicant does not meet the criteria set up for a single program, that program will not display in their search results.
Say “goodbye” to running reports to see for which program each applicant qualifies. By having your applicant pool pre-qualified for each unique program, there will be much less work on the backend. Applications can be more easily assigned to evaluators for review and have that evaluation criteria set up for that specific program.
What’s in it for my applicants?
When you use the Common & Unique Program feature, your applicants will not have to answer redundant questions. The applicants will not be aware of a “common application”, but will instead see this as a feature that copies all of their common information over to each unique program to which they apply, greatly reducing the amount of work and time needed to apply to your programs.
What’s in it for my evaluators?
Your evaluators will easily be able to see for which program they are reviewing an applicant. In addition, the evaluators will be able to quickly see the description and requirements of each of the unique programs being reviewed, thus alleviating confusion.
Some of our clients utilize the Common & Unique Program feature for nominations. When a single person can nominate more than one person for a series of awards or programs, using this feature will keep your nominator from having to reenter their information over and over again.
